As discussed in the first part of this two-part series, administrative assistants do a lot of work and take a lot of abuse for considerably less money than their bosses. They are, in many cases, the backbone of an office but a rarely acknowledged for their efforts.
Continuing with this portrait of administrative assistants and their common complaints, administrative assistants all say they would appreciate an occasional, and sincere, "thank you". Saying "thank you" is simple and easy, doesn't take much time and means a lot when it comes from the heart. Of all the office staff positions, admins have the most in common with IT people. Both positions tend to be taken for granted even though they are staffed by people that find solutions to problems. These problems are the result of higher-ups who simply lack common office knowledge, such as how to use Excel or how to check their own voice mail. Many administrative assistants, off the record, will tell you being an admin was never what they actually aspired to do. Jobs are difficult to find and they settled for this position. So don't assume just because someone is an administrative assistant they lack education. Many have the same or more education than the staff they support. Admins have one opportunity during the workday to be on their own. That time is during their lunch hour. One admin said her boss always seems to wait until she is in the lunch room and the brashly comes over to her table, not to be friendly, but to talk business. Lunch hour is an admin's time and it should be respected. Many admins say there are days they dread coming into the office because of the way they are treated by staff people. If it is your goal to drain their spirit and enthusiasm, continue to treat them as if they are indentured servants. Take it from one who knows - respect and recognition will go a long way in making your administrative assistant feel like they are a valued member of the office team.
