Is a Multifunction Printer Right for You?

Isn't technology amazing? You can sit at your desk typing a letter, hit the print button on your software and a document, just as you typed it, burps out from a small block of plastic. With this same machine, you can also scan a document, copy it, and then fax it to your client in another country. I know this is not cutting-edge technology, but it still impresses me.

 

Alternatively, you can have three or four different machines that will do the same thing. The difference being you have to go to each machine, use its particular function and collect the output before returning to your desk. These steps take time and may not be the most efficient use of your day.

MFP's, or multi-function printers, are a great bit of technology for home and office. In one unit you have a printer, scanner, copier and fax machine. An MFP can save a great deal of money over the cost of each device purchased individually. In addition to saving money, think of the space you save in your office.

With an MFP, however, you sacrifice the higher output quality of individual units. Because an MFP uses one toner cartridge for all functions, you may find yourself replacing the cartridge more often, which can be expensive. Also consider how your office will run should you have to take the multi-function unit in for repairs.

MFP's do what they do very well and are generally reliable. If your office needs are basic, such as printing, copying and faxing, the MFP is sufficient. If your printing output is relatively simple, such as documents and invoices, the MFP can handle the job quite well.

On the other hand, if you do more sophisticated tasks, such as high resolution scanning and printing, you may want to re-think purchasing a MFP. If you distribute high page count documents, a stand-alone laser printer can handle the volume much better.

MFP's typically cost between $200 and $500. They can be purchased online or from a multitude of retailers.
